If, after all the reminders sent through Clearnox, the invoice is still unpaid, it's a good idea to send a formal notice to the customer and start a debt collection procedure if needed.
Clearnox makes it super easy to put together your collection file thanks to a simple and user-friendly interface.
How do you create a collection file?
Start by identifying the customers with one or more unpaid invoices and a high reminder level (like R5) using the filters in pages like “Who owes you what?” or the due date tracking view.
You can also search by customer or invoice to go straight to the customer file.
1. From the account status screen, select the entries you want to include in the collection file.
2. Click on the "Collection file" button.
3. A pop-up will show that the customer and entry will be put on “Stop reminders,” unless you uncheck those options.
If you leave the “Mark entries as in collection” box checked, the entry will be marked as such and a ⚖️ icon will appear in the interface.
4. Click the "Generate" button to export the file.
5. When the export is ready, you’ll get a real-time notification so you can download it.
To choose how you'd like to be notified when the file is ready: - Click your name at the top right of the page. - Go to “Settings”, then in the ‘Notification settings’ section, look for the ‘Exports’ option and choose the type of alert you want.
6. Click the .zip file name to download your collection file.
What’s inside the collection file?
Inside the downloaded .zip file, you’ll find:
An Excel file named after the customer and the export date, which includes customer info, the related entries, and the names of the invoice and reminder documents.
The PDF invoices for the selected entries, if the invoices are in Clearnox.
The reminder activities in PDF, with the first page being a summary and the second the actual message content.

I marked an entry as in collection by mistake. Can I undo that?
Yep, you can remove the collection status right from the account view by clicking the ⚖️ icon.
Just confirm that you want to remove the collection status in the pop-up that appears.
